Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Symposium and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Symposium, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Canada, failure to utilize tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The organizer cannot take any responsibility for any participant failing to arrange their own insurance. The insurance is to be purchased in your country of origin.

All registration fees may be paid by credit card (American Express, VISA or MasterCard) or bank transfer. To be eligible for the early bird fee, payment must be received no later than May 14, 2023. Registrations are not confirmed until payment is received in full. Any bank charges incurred (any credit card charge backs for challenged registrations) must be paid by the sender and not the Conference Secretariat. Registration fees do not include any sort of insurance.

Cancellations are permitted until Monday, May 1, 2023*. Registrants will receive a full refund less a USD $50 administrative fee. Cancellations must be submitted in writing no later than the above date by emailing omcos2023-registration[at]venuewest.com. If payment was previously made by bank transfer, the notification must include all the relevant information regarding the bank account to which a possible refund may be remitted. Registrants wishing to cancel after May 1, 2023, will not be eligible for a refund, however, transfer of the registration to another delegate is acceptable.

Substitutions are accepted until July 17, 2023.

*Please note: for visa application denials, the cancellation policy will be extended to June 1, 2023 and you must provide a copy of the visa denial letter to receive your refund.

DEFINITIONS

21st International Symposium on Organometallic Chemistry Directed Toward Organic Synthesis (OMCOS XXI) is the official host of the Symposium and hereafter referred to as “Organizer”.

Venue West Conference Services has been contracted by the Organizer and is responsible for registration and symposium management services and hereafter referred to as “Symposium Secretariat.”

The General Terms and Conditions are valid for each attendee registered for 21st International Symposium on Organometallic Chemistry Directed Toward Organic Synthesis taking place July 24-28, 2023 (hereafter referred to as “Symposium”). Any person is considered an attendee.

Registration Fees

Only fully completed registration forms will be accepted. The registration fee is based on the date of the receipt of the completed online registration as well as the payment in accordance with the deadlines mentioned above. The online registration can be completed by clicking the button “Submit” at the end of the form. Should a deadline be missed, the next applicable fee will be charged automatically. Registrations are not confirmed until payment is received in full.

If the maximum attendee capacity is reached, the Organizer reserves the right to refuse any registration or close the registration site early.

Eligibility

To be eligible to register for the Symposium, attendees must be at least 18 years old.

Language

The official Symposium language is English.

Registration Transfer

Photography and Image Capture

Please be advised that photographs will be taken at the symposium for use on the 21st International Symposium on Organometallic Chemistry Directed Toward Organic Synthesis and other partnering organizations’ websites, in the press, and future International Symposium on Organometallic Chemistry Directed Toward Organic Synthesis marketing materials and other publications. By attending the Symposium, you acknowledge that your photo may be taken and used by the 21st International Symposium on Organometallic Chemistry Directed Toward Organic Synthesis and their partnering organizations.

 

METHODS OF PAYMENT

All registration fees must be paid by credit card (American Express, MasterCard or VISA) or bank transfer. Any bank charges incurred (credit card chargebacks for challenged registrations) must be paid by the sender and not the Organizer or the Symposium Secretariat.

Credit card is the preferred payment method and results in an instant confirmation of attendance. All transactions will appear on the credit card statement as a payment to Venue West Conference Services. Attendees who wish to pay by bank transfer will receive an invoice by email. Invoices are payable within 30 days after receipt, or before the first day of the symposium if the registration date is less than 30 days prior to the start of the symposium.

ACCOMMODATION

Room type booked during the registration process is not guaranteed. Any changes to your booking need to be emailed to omcos2023-registration[at]venuewest.com. A hotel booking confirmation email will be sent closer to the symposium date with hotel details and confirmation number.

 

CANCELLATION POLICY

For visa denials, the cancellation deadline is June 1. If no feedback is received from the Immigration Office by the date of the symposium, the delegate will need to provide proof that the visa application process was started at least 12 weeks before the conference (applications submitted after April 24 won’t be eligible for a refund if a visa can’t be obtained in time).

 

Cancellation of the Symposium

If the Symposium cannot be held or is postponed due to events beyond the control of the Organizer (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Organizer, the Symposium Organizer cannot be held liable by registrants for any costs or losses incurred. Under these circumstances, the Organizer reserves the right to either retain the entire registration fee and to use it for a future Symposium, or to reimburse the attendee after deducting costs already incurred for the organization of the Symposium and which could not be recovered from third parties.

Data Protection and Sharing of Contact Details

Collection and processing of personal data will comply with the applicable data protection legislation.

The Organizer and the Symposium Secretariat will only use the attendee’s personal information provided during the registration process to host, manage, and analyze attendee traffic and engagement during the Symposium.
